They can perform various tasks from administrative duties, customer service, and bookkeeping to video editing and many more. In essence, they carry out duties online from their computer, which makes them accessible from anywhere.
When it comes to setting up a virtual assistant for your business, it can be simple and easy with the right approach. Start by treating the VA like any other full-time employee, and provide them with your company email address. To ensure privacy and security, a tool like LastPass can do wonders in sharing login details without actually revealing the passwords. Documenting processes can be extremely beneficial, but we understand that not everyone has everything documented before starting to work with us. Don’t worry, we can still help you streamline your operations and get the most out of your VA.
To streamline client communication, we use four different applications. Among them, Zoom takes the crown as the most important. To ensure a strong and dependable relationship between you and your VA, we’ll set up daily huddles that stretch from 15 to 30 minutes.
For live chat, depending on whether you’re using Outlook or Gmail, we use either Hangouts or Chats and Teams. Live chats make it easier to exchange information with your VA in real-time, without flooding your inbox with emails that aren’t relevant to your clients.
Additionally, you and your VA will have direct access to each other through Dial Pad, our fourth application used to manage Landline calls within Australia.
To further facilitate communication, we’ll set up your VA with an email address, giving you multiple channels to stay connected with your VA and streamline the communication process.
At Koruna Assist, we understand that your data security is of utmost importance. That’s why we have implemented several policies to ensure your peace of mind.
Firstly, all of our highly trained and competent Virtual Assistants (VAs) are employed, and we have legal and binding documents in place with them. Our screening process is rigorous, so you can be sure you have a trustworthy and reliable VA handling your tasks.
Secondly, we use Time Doctor to monitor the activities of our VAs. It allows us to capture screenshots of their screens and webcams, ensuring security and transparency.
Our network is also secure, and in order for the VA to access your data, they must access it through our network. All necessary firewalls and security policies are implemented to further protect your data.
When we onboard a VA, we provide them with all the necessary equipment – including a desktop computer and dual monitors for maximum efficiency. Rest assured, LastPass will be pre-installed on their computer and we will use an email address provided by you to ensure your VA does not have access to any important login details.
If you would like to end our agreement, a notice period is required based on the duration of your contract with your VA.
If you have been working with your VA for six months or less, we will need a notice of 30 days. However, if you have been working with your VA for more than six months, we will need a notice of 60 days. This policy is in place to ensure that we can effectively manage all requests.
